Encrypting Your Outlook Email

Encrypting your message will help you to protect your message privacy. Encrypting is the process of converting plain text into cipher text (code). Decryption is the process of converting cipher text into plain text. Decryption the message need private key that should match the public key used to encrypt the message. If private key doesn’t match then receiver will not see any messages which sender sends.

Steps to Encrypt Your Outlook Email:

1) If you want to encrypt your outlook message then you need to get a Digital ID first.
Note: Digital ID is an electronic signature or digital signature on an e-mail message which helps the receiver to authenticate the sender.


How To Setup Digital ID:

  • Select Tool menu -> Trust Center ->finally click on Trust Center Setting under Microsoft outlook Trust Center.

  • Choose E-mail Security Tab from the left menu and click Get a Digital ID under Digital IDs (Certificates).

  • Then Get Digital IDs (Certificates) dialog will popup and select Get an S/MIME certificate from an external Certification Authority, and then press OK.

Then you will be navigated to the Microsoft Office online support browser page. Select the options from the list which you want to use and follow the on-screen instructions. The certificate authority will send you a digital ID via registered email.

How to Share Outlook Digital ID??

If you want to share your Digital ID to the person, who you wants to read your encrypted messages then proceed with the below steps.
  • Compose a new message.
  • In Option Tab click on sign under permission
  • Finally, compose your message and send it.

If "sign" option was not found then follow the below steps:

  • In Option Tab under More Option group select Options Dialog Box Launcher in left corner.

  • Select Security setting option from the properties dialogue box.

  • Select the check box "Add digital signature to this message" check box and click OK.

  • Finally, click close button.

How To Encrypt all outgoing messages?

  • Click File tab. Then choose option -> Trust Center -> Trust Center Setting.
  • Click Email Security tab and select the "Encrypt contents and attachments for outgoing messages " check box under Encrypted email.
